Session 1 facilitation tips
Low-bandwidth settings
- Email case text and worksheet 48 hours before the session
- Synchronous route: phone dial-in plus typed chat; facilitator reads chat aloud; no video required (see technology checklist)
- Use plenary discussion instead of breakouts if connections drop
- Asynchronous fallback only when live join is impossible: worksheet within 48 hours
- Avoid video-heavy slides; all content is text-based
Inclusion
- Offer French materials in advance; live facilitation may be English with written FR questions welcomed
- Describe any diagram verbally
- Repeat chat contributions aloud for audio-only participants
- No-breakout route: facilitator reads case; individuals complete worksheet; debrief in plenary
Difficult moments
Participant shares real case data: Pause activity. Ask co-host to remove from chat per platform rules. Refer privately to hosting organization’s contact. Do not copy into notes.
“AI is always dangerous”: Acknowledge risk. Redirect to screen: some green uses exist with checks. Proficiency requires discrimination, not blanket refusal.
“Our org has no policy”: Amber by default. Action plan: ask leadership for guidance. Session 3 addresses governance.
Pacing for large groups (35 to 40)
- Use 5 groups of 7 to 8; pairs within groups for worksheet sections
- Collect G/A/R via poll tool instead of lengthy verbal reports
- Pre-assign group numbers in registration email
Evidence of learning
- Collect worksheets (anonymous codes only)
- Score using four-point rubric
- Note themes for adaptation note to hosting organization within 3 business days
